Textos User Guide

This guide covers all Textos features for different user roles.

Login and Profile

First Login

If you received an email invitation: 1. Click the invitation link 2. Create your password (minimum 8 characters) 3. Enter your name 4. Click "Create my account"

Regular Login

  1. Go to your Textos instance URL
  2. Enter your email address and password
  3. Click "Login"

OAuth Login

If your organization has configured OAuth: - Click "Login with Google" or "Login with Microsoft" - Follow your provider's instructions

User Profile

Access your profile via the sidebar menu > Profile

You can change: - Your display name - Your preferred language (Francais/English)

Note: The email address cannot be changed.

Forgot Password

  1. On the login page, click "Forgot password?"
  2. Enter your email address
  3. Check your inbox for the reset link
  4. Follow the link and create a new password

Conversations

The Conversations page is the heart of Textos. This is where you manage all SMS communications with your contacts.

Conversation List

The list displays all conversations for your team, sorted by last activity.

Each conversation shows: - The contact's phone number - A preview of the last message - The date/time of the last message - The number of unread messages

Filter Conversations

Use the available filters: - Search: Search by number or content - Status: Filter by open or closed conversations

Read a Conversation

Click on a conversation to see all exchanged messages.

Messages are displayed chronologically with: - Send/receive time - Delivery status (sent, delivered, failed) - The agent name who sent (for outgoing messages)

Send a Message

  1. Select an existing conversation or create a new one
  2. Type your message in the field at the bottom
  3. Click "Send" or press Enter

Send Attachments (MMS)

If your SMS provider supports MMS, you can send images, videos, and audio files:

  1. Click the paperclip icon (📎) next to the message field
  2. Select the files to send
  3. Attachments appear above the message field
  4. You can remove an attachment by clicking the X
  5. Add a message (optional) and click "Send"

Supported formats: - Images: JPG, PNG, GIF, WebP - Videos: MP4, MOV - Audio: MP3, WAV, M4A

Limits: - Maximum file size: 10 MB - Multiple files can be sent at once

Note: The attachment button only appears if your phone number is configured with a provider that supports MMS (e.g., ISP Telecom). SMS-only providers (e.g., Ubity) do not support attachments.

New Conversation

  1. Click "New conversation"
  2. Enter the phone number in E.164 format (e.g., +15141234567)
  3. Write your first message
  4. Click "Send"

Conversation Menu

Click on the menu icon (three vertical dots) at the top right of a conversation to access actions:

  • Close conversation: Marks the conversation as finished. It will be moved to closed conversations.
  • Archive conversation (Manager+): Archives the conversation. It will no longer be visible in the main list but will be accessible in the team archives.
  • Delete conversation (Admin): Permanently deletes the conversation and all its messages. This action is irreversible.

A closed conversation automatically reopens if the contact sends a new message.


Teams

Teams group agents who share a phone number and manage the same conversations.

View Your Team

Sidebar menu > Teams

You will see the list of teams you have access to.

Team Settings (Manager/Admin)

Click on a team to see its settings:

General Information

  • Team name
  • Associated phone number

Members

List of team agents. Admins can: - Add members - Remove members

Business Hours

Configure the hours during which your team is available:

  1. Click "Add schedule"
  2. Select the day of the week
  3. Set the start and end time
  4. Repeat for each working day

Outside Hours Behavior

Choose what happens when an SMS arrives outside business hours:

  • Queue: Messages are kept and displayed in the conversation list
  • Reject: Messages are not processed

In both cases, you can optionally configure an automatic reply message that will be sent to the contact.

Welcome Message

Configure an automatic message sent at the start of each new conversation.

Archives (Manager+)

The Archives tab allows you to view archived conversations:

  1. Click on the Archives tab
  2. A calendar displays days with archived conversations (highlighted)
  3. Click on a day to see the list of conversations archived on that day
  4. Click on a conversation to view its messages

Note: Archived conversations are no longer visible in the main conversation list.


Metrics

Sidebar menu > Metrics

View your team's statistics.

Overview

  • Total messages (received and sent)
  • Average response time

Volume

Graph showing message volume evolution over the selected period.

Performance

Detailed statistics on: - Messages by status (sent, delivered, failed) - Response times

Filters

  • Period: Last 7 days, 30 days, 90 days
  • By team: Filter by team (multiple teams selectable)
  • By agent: Filter by agent - shows only sent messages (received messages are visible to all agents)

Settings

Sidebar menu > Settings

Profile

Edit your personal information.

Language

Change the interface language: - Francais - English

API Keys (Admin/Manager)

Generate API keys to integrate Textos with other systems.

  1. Click "New key"
  2. Give the key a name
  3. Copy the generated key (it won't be visible again)

To revoke a key, click "Revoke".


Administration

These features are reserved for administrators.

Organization Management (Super Admin)

Sidebar menu > Organizations

  • Create new organizations
  • View members and teams for each organization
  • Enable/disable users
  • Change user roles

Invitations

To invite a new user:

  1. Go to organization settings
  2. Click "New invitation"
  3. Enter the email address
  4. Select the role (Agent, Manager, Admin)
  5. Click "Send invitation"

The new user will receive an email with a link to create their account.

Note: Domain Admins can manage all organizations within their assigned domains but cannot create/delete domains or add credits.

System Settings (Super Admin)

SMTP

Configure the email server for sending invitations and notifications: - SMTP server - Port - Credentials - Sender email

OAuth

Configure OAuth authentication providers: - Google - Microsoft - Apple

Domains (Super Admin / Domain Admin)

Sidebar menu > Domains

Manage domains and their configurations: - Associated URLs - Phone numbers - Webhooks for SMS providers - SMS logs - Domain administrators

Managing Domain Admins

Super admins and existing domain admins can manage domain administrators:

  1. Go to a domain's settings page
  2. Scroll to the "Domain Admins" section
  3. Click "Add Admin" to invite a new domain admin

Adding a Domain Admin: - Enter the user's email address - If the user already has an account, they are added immediately - If the user doesn't exist, an invitation is created (shown as "Pending") - The invited user will become a domain admin when they create their account

Removing a Domain Admin: - Click the trash icon next to the admin's name - If the user has no other domains, their role changes to regular admin

Note: Domain admins can only manage their assigned domains. They cannot create/delete domains or add credits to organizations.
